What we collect when you get a quote or place an order, why we need it, who helps us handle it, and how to ask us about it.

Last updated 16 October 2026.

1. Who we are

Silverstone Cerakote Ltd (company number 14594407, registered office Unit 22, Burcote Wood Business Centre, Wood Burcote, Towcester, Northamptonshire, NN12 8TA) is the controller of the personal data described here. If you have a question about your data, or want to use any of your rights, email contact@silverstonecerakote.co.uk.

2. What we collect

  • Contact details: your name, email address, company name and any phone number you choose to give us.
  • Order details: the parts you describe, the finishes you choose, quantities, quotes, orders, pro formas, invoices and delivery or collection instructions, including delivery and return addresses.
  • Files you upload: CAD files, drawings, photos and artwork. Photos can contain hidden information such as the time and place they were taken.
  • Account details: if you create an account, your login email and your password (stored only in scrambled, hashed form) and a record of when you sign in.
  • Payment records: what you paid, when, how, and the payment reference. Card payments are taken by our payment provider, Stripe. We never see or store your full card number.
  • Messages: emails and notes about your job, including callback requests and the time you asked us to call.
  • Technical data: your IP address, browser type and the time of each request, kept in our hosting and security logs.

3. Why we use it, and our lawful basis

  • To give you an estimate or quote: because you asked us to (steps before a contract).
  • To carry out your order: coating your parts, returning them, and keeping you updated (performance of a contract).
  • To run your account: so you can see quotes, jobs, documents and balances (performance of a contract).
  • To take payment and keep accounts: including VAT and tax records (legal obligation).
  • To keep the website and our systems secure: and to stop spam and fraud (our legitimate interests).
  • To improve our service: for example, checking how accurate our online estimates are against final prices (our legitimate interests).
  • Marketing: we only send marketing emails if you've opted in, and you can opt out at any time (consent).

Job update emails, such as "your parts have arrived" or "your order has been dispatched", are part of the service. You can turn non-essential updates off in your account.

4. Online estimates and AI

When you upload a file, our quoting software measures it automatically and works out an indicative price. This is a calculation based on size, shape, finish and quantity. It doesn't make any decision about you, and every order is checked by a member of our team before work starts. A photo estimate depends on the size you tell us, so it's shown as a price range.

Our team also uses AI tools to help read documents and messages sent to us, for example to pull part details out of a drawing. A person checks what these tools produce before it's used. Our AI provider doesn't use our data to train its models under the business terms we use.

5. Who we share it with

We don't sell your data. We share it only with the businesses that help us run our service, under contracts that require them to protect it:

  • Silverstone Cerakote COS: our own quoting, job management and customer account system.
  • Supabase: secure database and file storage, hosted in London.
  • Vercel: website and application hosting.
  • Cloudflare: the security check on our forms that stops automated spam.
  • Stripe: card payments. Stripe is also responsible for the data it uses to prevent fraud; see Stripe's privacy policy.
  • Resend: sending our emails.
  • OpenAI: the AI tools described in section 4.
  • Couriers: your name, address and contact details, so they can deliver.
  • Our accountants and accounting software: invoices and payment records.

We may also share data where the law requires it, for example with HMRC.

6. Data sent outside the UK

Some of these providers are based in, or use staff in, the United States or elsewhere. Where data leaves the UK, we rely on UK adequacy regulations (including the UK–US data bridge) or the UK International Data Transfer Agreement or Addendum, so it gets the same level of protection.

7. How long we keep it

  • Estimates and quote requests that don't go ahead: 12 months, then deleted along with the files.
  • Orders, invoices and payment records: 6 years after the end of the financial year they relate to, as tax law requires.
  • Files for completed jobs: 2 years after the job, so we can match a repeat order or look into a problem.
  • Your account: until you ask us to close it. Order records we're required to keep are then kept for the period above.
  • Security logs: up to 90 days.

8. Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or send it to you in a portable format. You can also object to us using it for our legitimate interests, and withdraw consent at any time. Email contact@silverstonecerakote.co.uk. We'll reply within one month. Some data, such as invoices, we must keep by law even if you ask us to delete it.

9. Keeping it safe

Your files are stored privately and only our team can open them. Connections to our website are encrypted, staff accounts need individual logins, and each customer can see only their own account.

10. Children

Our service isn't aimed at anyone under 18, and we don't knowingly collect children's data.

11. Cookies

See our cookie notice. We don't use advertising or tracking cookies.

12. Complaints

If you're unhappy with how we've handled your data, please tell us first at contact@silverstonecerakote.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk.

13. Changes

We'll update this notice when our service changes. The date at the top shows when it last changed.
